Caseload & scheduling
The caseload, four ways
Same students, four lenses — List (fast scan), Cards (goal progress at a glance), Groups (by grade or by scheduled group), and a Board (Evaluating → Active → Monitoring → Ready to exit). Filters live behind one icon: IEP due soon, not seen this month, no goals yet, missing consent. Save any filter combination as a one-tap view.
Bulk actions are where the time goes: tick several students and start a group session, assign home practice, message families, or export progress reports in one go.
The schedule
Add each recurring slot once — “Tuesdays 10:15, 30 minutes, Lincoln, these students, these goals” — and the sessions simply exist: this week’s are created the moment the app opens, and any future week materializes when you view it, never duplicating. Each student’s target goal is picked right in the slot, so every generated session opens already aimed, exactly like one built by hand. A new slot can tick several days at once: “Tuesdays and Thursdays, same group” is one save that creates a slot per day, and the Add another toast stacks a second time for the same student without reopening menus. Tapping a filled slot opens its session.
- Day / Week / Month — three altitudes on the same schedule. Day is the column in front of you, Week the classic grid, Month shows which days carry slots and which are blocked; tap a month day to drop into it. The app remembers your choice per device.
- Move… asks the calendar’s honest question: this week only (the session moves, the slot stays) or all future weeks (the slot itself changes).
- Blocked time — travel, lunch, meetings, testing weeks — lives in one managed list: add a block across several days in one save (lunch, Monday–Friday), edit or retire any of them from the same place. Blocks render with an amber edge so the grid shows the week you actually have.
- Mandate awareness: a student’s name turns amber when the month’s remaining schedule can no longer reach their mandated minutes — while there’s still time to fix it.
- Makeups owed appear as chips; tap to start a makeup session.
- Print week produces the one-page paper schedule the front office still asks for.
Workload (school)
The workload panel computes what a typical week actually costs: direct minutes from the schedule, blocked time, plus documentation and planning at rates you set — against your contract hours. Bring the number to the caseload conversation instead of asserting it.
Mandates and IEP dates (school)
Set minutes-per-month and the student page tracks delivered against mandated. IEP annual reviews and re-evaluations surface on Today from 60 days out, red inside 30.
