How to Take Speech Therapy Data You'll Actually Use

Every SLP has a drawer of data sheets they’ll never look at again. The problem usually isn’t discipline — it’s that the data was never designed to be used.

Separate probe data from teaching data

The single highest-impact change: keep uncued probe trials (the first 5–10 attempts, no help) separate from teaching trials (cues, models, shaping). Probe data answers “is this generalizing?” Teaching data answers “is my cueing hierarchy working?” When both land in one percentage, the number means neither — and IEP progress reporting turns into educated guessing.

Count what the criterion counts

If the goal says 80% independent at word level across 3 consecutive sessions, your data system needs three things: accuracy, cue level, and session-over-session tracking. A tally of ”+/−” can’t tell you whether the 80% happened independently or with maximum cues. Track the cue level on every trial — it’s one extra tap in a decent app, and it’s the difference between defensible mastery and hopeful mastery.

Volume beats precision anxiety

Twenty meaningful trials logged beats a hundred perfect trials remembered. Aim for high-repetition drill blocks where scoring the attempt is the data entry — flip a card, score it, next. If your system requires writing between reps, the system is stealing reps.

Let the note write itself

If trials carry the goal, accuracy, and cue level, your session note is already written — it just needs assembling into narrative or SOAP form. The test of good data: at the annual review, can you show the trend line without doing math the night before? If yes, your system works.
